  • otherwise interact with us, including at in-person events.

If you have questions, email us at [email protected] or use the contact details in Section 13.

  • Sharing: We share information with the Game Master running your session and with service providers that help us run the business (payments, hosting, analytics, advertising). We do not sell personal information for money.
  • Advertising and analytics: We use tools such as Google Analytics and the Meta (Facebook) Pixel. You can opt out as described in Section 4.
  • Your rights: You can ask to access, correct, delete, or get a copy of your information, and to opt out of targeted advertising. See Sections 8 through 10.

1. What Information We Collect

Information you give us

Depending on how you interact with us, we may collect:

  • Contact and account information: name, email address, phone number, username, and password.
  • Booking information: the games or programs you book, dates, number of players, and your order history.
  • Player details provided by parents: when a parent or guardian registers a minor for an event, the parent may provide basic details about the player, such as the player’s first name.
  • Health and safety information: for summer camps and some in-person programs, we may ask for allergy, medical, or emergency contact information so we can keep players safe. We treat this as sensitive information, collect it only from the parent or guardian, and use it only for player safety.
  • Game Master applications: if you apply to become a Game Master, we collect the information on the application, such as your name, contact details, location, experience, and availability.
  • Communications: messages you send us by email, our contact form, or social media, and messages sent through any messaging features on our site.
  • Testimonials and reviews: if you give us a testimonial, we may publish it with your name or first name and initial.

Payment information

When you pay, your card details are entered into and processed by Stripe, our payment processor. Stripe handles your full card number and security code; we receive only limited details such as the card type, last four digits, and confirmation of payment. Stripe’s privacy policy is at https://stripe.com/privacy.

Information collected automatically

When you visit our website, we and our service providers automatically collect certain information, such as your IP address, browser and device type, pages viewed, referring website, and approximate location derived from your IP address. We collect this through cookies, pixels, and similar technologies (see Section 4).

Information from third parties

We may receive limited information from service providers and platforms we use, for example payment confirmations from Stripe, and aggregated audience or ad-performance data from Google and Meta. If you interact with us through Instagram, TikTok, Facebook, or Discord, we may see information you make available on those platforms, such as your username.

Photos and video at events

We may take photos or video at games, camps, and events and share them on our website and social media. We will not publish images of minors without their parent or guardian’s permission. If you would prefer not to be photographed, let your Game Master or camp staff know.

2. How We Use Your Information

We use personal information to:

  • create and manage your account and let you log in;
  • process bookings and payments, and deliver the games, camps, and events you sign up for;
  • match you with and connect you to a Game Master;
  • keep players safe, including responding to allergies, medical needs, or emergencies at in-person programs;
  • review and manage Game Master applications;
  • respond to questions and provide customer support;
  • send booking confirmations, reminders, schedule changes, and other service messages;
  • send newsletters and promotions if you have opted in (you can unsubscribe at any time);
  • publish testimonials you’ve given us permission to use;
  • understand how our website is used and improve it;
  • measure and deliver our advertising (see Section 4);
  • prevent fraud, protect the security of our site, and enforce our Terms of Service and Code of Conduct; and
  • comply with legal obligations, such as tax and accounting requirements.

We do not use any information about minor players for targeted advertising or profiling.

3. When and With Whom We Share Information

We share personal information only as described below.

  • Game Masters. When you book a session, we share the information the Game Master needs to run it, such as player names, ages, contact details, and any safety notes. Game Masters are independent contractors, and they are required to use this information only to run your session.
  • Service providers. We use companies that help us run our business, and they process information on our behalf. These include Stripe (payments); our website host and WordPress/WooCommerce (website and online store); Cloudflare (website security and performance); Google (analytics through Google Analytics/Site Kit, and maps through the Google Maps Platform); Meta (advertising measurement through the Meta Pixel); and our email or newsletter provider.
  • Legal and safety reasons. We may disclose information if required by law, to respond to legal process, or when we believe it is necessary to protect the safety of players, staff, Game Masters, or the public.
  • Business transfers. If we are involved in a merger, acquisition, financing, or sale of all or part of our business, personal information may be transferred as part of that transaction, subject to this policy.
  • With your consent. We may share information for other purposes when you ask us to or give permission.

We do not sell personal information for money. Our use of advertising tools such as the Meta Pixel may count as “targeted advertising” under some state laws; you can opt out as described in Section 4.

Our community Discord server and our social media pages are operated by those platforms, and their own privacy policies apply to what you share there.

4. Cookies, Analytics, and Advertising

We use cookies and similar technologies to make the website work (for example, keeping you logged in and remembering your cart), understand how visitors use the site, and measure and improve our advertising.

  • Google Analytics helps us understand site traffic. You can opt out with Google’s browser add-on at https://tools.google.com/dlpage/gaoptout.
  • Meta Pixel helps us measure ads on Facebook and Instagram and show ads to people who have visited our site. You can adjust your ad preferences in your Facebook or Instagram account settings.
  • Google Maps may set cookies when a map is displayed on our site.

You can also block or delete cookies in your browser settings, though some parts of the site (such as login and checkout) may not work without them. For more ways to opt out of interest-based advertising, visit https://optout.aboutads.info.

We do not currently respond to browser “Do Not Track” signals, because there is no common standard for them.

5. How Long We Keep Information

We keep personal information only as long as we need it for the purposes in this policy. In general:

  • Account information: for as long as your account is open, and up to 12 months after it is closed.
  • Booking and payment records: as long as required for tax, accounting, and legal purposes, which may be several years.
  • Health and safety information for camps and events: only for the duration of the program and 90 days afterward, unless we need it longer because of an incident.
  • Game Master applications: for the duration of the relationship, or up to 12 months if the application is not accepted.

When we no longer need information, we delete it or make it anonymous. If that is not immediately possible (for example, because it is in a backup), we store it securely and isolate it until it can be deleted.

6. How We Protect Information

We use reasonable administrative, technical, and physical safeguards to protect personal information, including encrypted (HTTPS) connections and limiting access to people who need it. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If we learn of a data breach affecting your information, we will notify you as required by law.

7. Children’s Privacy

Some of our programs, including summer camps, are open to players under 18. We do not collect personal information directly from minors.

  • Only adults can sign up. Accounts, bookings, and payments must be made by a parent or guardian who is 18 or older. Minors may not create accounts or register themselves for any event.
  • Parents provide any player details. Any information about a minor player comes from the parent or guardian during registration, and the parent consents to our using it as described in this policy.
  • Limits on use. We use any player details a parent gives us only to run the event the parent booked and to keep players safe. We do not sell this information or use it for targeted advertising or profiling.
  • Parental rights. A parent or guardian may review, correct, or ask us to delete information about their child by contacting us at [email protected].

If we learn that a minor has created an account or given us personal information without a parent or guardian, we will delete that information promptly. If you believe this has happened, please contact us.

8. Your Privacy Rights and Choices

Wherever you live, you can:

  • Access and update your account information by logging in to your account settings.
  • Ask us to provide, correct, or delete the personal information we hold about you.
  • Unsubscribe from marketing emails using the link in any email or by contacting us. We will still send you service messages about your bookings and account.
  • Close your account by contacting us. We may keep some information as needed to prevent fraud, resolve disputes, enforce our terms, or meet legal obligations.

To make a request, email [email protected] with the subject line “Privacy Request.” We may need to verify your identity before responding. You may use an authorized agent, but we may ask for proof that the agent is authorized to act for you.

9. Additional Rights for Virginia Residents

If you are a Virginia resident, you may have the following rights under the Virginia Consumer Data Protection Act, to the extent it applies to us:

  • to confirm whether we process your personal data and to access it;
  • to correct inaccuracies in your personal data;
  • to delete personal data provided by or obtained about you;
  • to obtain a copy of personal data you previously provided, in a portable format; and
  • to opt out of processing of your personal data for targeted advertising, sale, or profiling in furtherance of decisions that produce legal or similarly significant effects.

We do not sell personal data for monetary consideration. To opt out of targeted advertising, use the options in Section 4 or email us and we will stop using your information for that purpose.

How to submit a request. Email [email protected] with “Virginia Privacy Request” in the subject line. We will respond within 45 days of receiving your request. If reasonably necessary, we may extend this once by an additional 45 days, and we will tell you within the first 45 days if we do.

Appeals. If we decline to act on your request, we will explain why. You may appeal by emailing us with “Privacy Appeal” in the subject line. We will respond in writing within 60 days, explaining any action taken or not taken. If your appeal is denied, you may contact the Virginia Attorney General at https://www.oag.state.va.us/consumer-protection/index.php/file-a-complaint.

10. Residents of Other States

Residents of some other U.S. states may have similar rights under their state’s privacy laws. We will honor requests from any U.S. resident to access, correct, or delete their personal information and to opt out of targeted advertising, using the process in Section 8.

California residents: Under California’s “Shine the Light” law, you may request information about any personal information we disclosed to third parties for their own direct marketing purposes in the previous calendar year. We do not share personal information with third parties for their own direct marketing. California residents under 18 with a registered account may also ask us to remove content they have publicly posted on our site.

11. Links to Other Websites

Our website links to other sites and services, including Instagram, TikTok, Facebook, and Discord. We are not responsible for their privacy practices, and we encourage you to read their privacy policies.

12. Changes to This Policy

We may update this policy from time to time. The “Last updated” date at the top shows when it was last revised. If we make material changes, we will post a notice on our website or notify you by email before the changes take effect.
